4. How We Collect and Use Your Data

We may collect information when you:

  • Complete the Executive Health Diagnostic or another assessment.
  • Book a consultation or strategy call.
  • Participate in a TRUTH programme.
  • Communicate with our team.
  • Accept website cookies or use our website.

We use this information to:

  • Provide assessments, coaching and executive health programmes.
  • Calculate diagnostic results and recommend areas of focus.
  • Arrange appointments and respond to enquiries.

  • Protect our website and forms from spam and misuse.
  • Meet legal, tax, accounting and regulatory obligations.
  • Send marketing where you have consented or where permitted by law.

Where an organisation arranges a programme for its leadership team, individual health information will remain confidential unless you have agreed to it being shared or we are legally required to disclose it.

5. Our Legal Bases

We process personal data where:

  • It is necessary to provide a service or take steps before entering into a contract.
  • We must comply with a legal obligation.
  • It supports our legitimate interests in operating and developing our business, responding to enquiries and protecting our systems.
  • You have provided consent, including for optional cookies, marketing, testimonials or another specific purpose.

Where we process special category health information, we will generally rely on your explicit consent in addition to the relevant lawful basis above.

You can withdraw consent at any time by contacting cameron@truthfitness.co.uk. This may affect our ability to continue providing services that require health information.

TRUTH’s assessments provide general health and wellbeing support. They are not medical diagnoses or substitutes for professional medical advice.

6. The Executive Health Diagnostic

The Executive Health Diagnostic asks questions about areas such as sleep, activity, exercise, nutrition, energy and health goals.

Your answers are used to calculate a score and identify suggested focus areas. This automated result does not produce legal or similarly significant effects and is not a medical diagnosis.

The website currently processes your answers within your browser. Progress is temporarily stored in browser session storage under truthFitnessCeoDiagnostic.v20, allowing your answers to remain if the page is refreshed during the same session.

Diagnostic answers are not currently submitted directly to TRUTH. Information entered when booking a strategy call is handled separately through Calendly.

You can remove the stored diagnostic information by selecting “Start again”, clearing your browser data or ending the browser session.

7. How We Share Your Data

We may share personal data with:

  • Members of the TRUTH team involved in delivering your programme.
  • Webflow, which provides website hosting and form functionality.
  • Calendly, which provides appointment booking.
  • Cloudflare, which may provide form security and spam protection.
  • Google, where Google Analytics or Google Tag Manager is used with consent.
  • Payment, accounting, email, cloud storage and IT providers.
  • Professional advisers such as accountants, insurers and legal advisers.
  • Public authorities where disclosure is legally required.

We require third parties to handle personal data securely and only for the relevant purpose.

We do not sell or rent your personal data.

Some providers may process information outside the UK. Where this happens, we will use appropriate safeguards recognised under UK data protection law.

8. Data Retention

We keep personal data only for as long as reasonably necessary.

Generally:

  • Enquiries may be retained for up to 24 months after the last contact.
  • Client, programme, financial and contractual records may be retained for up to six years where required for legal, insurance, tax or accounting purposes.
  • Health information is kept only for as long as needed to provide the service and meet appropriate legal or professional obligations.
  • Marketing information is retained until you unsubscribe or withdraw consent.
  • Diagnostic progress stored in your browser remains for the relevant browser session unless removed earlier.
